How to Export Telegram Bot Users to Excel
“Export Telegram users” can mean two very different things: extracting members from someone else’s group, or saving the database built by your own bot when people voluntarily pressed Start. This guide covers the second case.
This is not an export of another group or channel
The exported users are people who opened your own bot and registered. This is not a tool for collecting another community’s audience.
What a bot knows about a registered user
At Start, the bot receives the Telegram ID and profile information available through the Bot API. If the link contains a deep-link parameter, it can also store the source; see the source tracking guide.
The system can distinguish a first Start from later START events by a known user. A phone number is not required or requested for this registration.
What belongs in a spreadsheet
An export is useful for period reports, source comparisons, handing data to an authorized colleague, moving data into another system, or keeping a point-in-time archive. It should not replace the faster built-in search for one specific user.
What the file contains and which period it covers
The exact columns depend on the available stored data. The file contains accessible information about registered users and related events, such as START events and a source when one was recorded.
- today
- yesterday
- the last 7 days
- the last 30 days
- a custom date range
How to export in Soft Lite Registration Bot
Use Users to inspect or search the database, Statistics to review counts and sources, and Export to choose a period and create the XLSX file. The finished file is saved on the computer where the program runs, just like the working database.
Why export when the data is already visible?
- Transfer: move available data to a CRM or another table.
- Reporting: share an authorized report without granting program access.
- Work outside Telegram: continue an appropriate business process elsewhere.
- Archive: keep a snapshot before important changes or a full reset.
How to handle the file
Treat the XLSX file like the working database. Store it in an approved location, share only the necessary period and fields, maintain backups when the data matters, and remove obsolete copies from public folders or chats.
How often should you export?
There is no universal schedule. Weekly 7-day reports and monthly 30-day reports are common. A custom export is useful before a campaign change, quarterly review, or irreversible full reset.
Limitations
- XLSX complements the CRM queue; it is not a full sales platform.
- Only data actually collected through your bot and the Bot API can be exported.
- A phone number is absent because Start registration does not request it.
- Data is stored locally and is not automatically synchronized to a cloud service.
- Export runs on request; it is not an automatic daily email.
FAQ
Who is a “user” here?
A person who opened your own bot and pressed Start at least once.
Is this the same as exporting group members?
No. This is your own bot’s registration database.
Does export require a phone number?
No. The registration flow does not request one.
Does an XLSX file become a CRM?
No. It is a table, not a sales workflow system.
In SL REG Bot, Users, Statistics, and XLSX Export are connected but separate tools for inspecting the database, understanding sources, and continuing authorized work outside the program.
